Essential Job Duties
The Research Administrator will be supporting Dr. Cathrine Hoyo’s Lab, the Epidemiology and Environmental Epigenetics group in the Department of Biological Sciences. This role will serve as the primary liaison and manager for daily tasks related to multiple NIH-funded multidisciplinary and inter-institutional grants, with a focus on human subjects research. This role requires a strong background in research administration, project management, and an in-depth understanding of NIH grant processes, regulatory compliance, and institutional policies
Key Responsibilities include but are not limited to:
Pre and Post Award Grant Administration:
- Assist with grant proposal submission process including budget development, communications, non-tech document preparation, MTAs, DUAs, post-submission materials and RPPR preparation.
- Serve as the main financial and research administration point of contact for multi-site collaborations, providing administrative leadership for Dr. Hoyo and her team.
- Assist in grant proposal submissions, including budget development, document preparation, and post-submission materials.
- Review necessary policies and procedures and implement processes or take action to ensure compliance.
Financial Management:
- Manage budgets and financial needs for all studies, including planning, mid to long range projections, monitoring, purchasing, tracking, and reconciliation.
- Oversee expenditures to ensure compliance with grant objectives and prepare necessary financial reports.
- Issue and manage external subawards
- Handle administrative processes related to travel authorizations and reimbursements.
Compliance and Regulatory Liaison:
- Act as the liaison between the research team and NC State regulatory compliance, addressing COI, Export Control, IRB, and Data/Specimen transfers.
- Coordinate and troubleshoot IRB-related issues, ensuring compliance across all institutions and collaborators.
- Serve as the point person for interfacing with the IRB to resolve problems, and coordinate reliance agreements, single IRB, sharing of data, and transferring data.
- Ensure all human subjects research personnel are compliant with IRB training requirements, including managing CITI certifications.
Program Administration:
- Coordinate program and financial management meetings.
- Administratively supporting human subjects research and providing guidance on DUA’s, MTA’s, Training, Compliance, etc.Develop and implement key documents (e.g., SOPs, MTAs, DUAs)
- Manage NIH portals like ASSIST, XTRACT, XTRAIN, ERA in order to work with relevant partners at NC State to assist with project maintenance and reporting from application through closure.
- Foster positive relationships with the research team, collaborators, and other research administrators.
Human Resources Coordination:
- Work with HR partners to coordinate hiring processes for students, temps, and full-time staff, ensuring adherence to fair hiring practices.
- Manage onboarding and core training for new staff, including NCSU-required training and necessary resources.

Minimum Education and Experience
Require post-baccalaureate credentials or a bachelor’s degree plus alternative or equivalent professional training and experience may be substituted for the advanced degree on an exceptional basis.

- Ability to manage time in an environment where task prioritization changes frequently.
- Ability to analyze and interpret policy and procedural guidelines to resolve relevant issues
- Ability to analyze and reconcile financial transactions
- Must demonstrate professionalism and emotional intelligence while working with a wide range of individuals including faculty, administrators, students, and lay people.
- Ability to complete grant applications and provide necessary information to funders throughout the lifecycle of an award.
- Proficiency with eRA Commons, ASSIST, XTRAIN, XTRACT, grants.gov, CITI Training, GoogleSuite, Microsoft Office suite, Smartsheets

- NIH grants administration experience preferred
