Duties and Responsibilities

Essential Duties and Responsibilities
The Development Fund Coordinator reports directly to the Director of Development and is responsible for assisting the Director with the maintenance of accounts created from individual donations, corporate donations, endowments, grants and foundations.  
Responsible for enforcing financial policies and procedures for all restricted and unrestricted accounts. Assists the Director of Development in all areas of the college’s financial operations which include accounts payable, accounts receivables, and financial reporting.  As a member of the Institutional Advancement division you may be asked to support the Vice President of Institutional Advancement (VPIA) or President of the College with development efforts that benefit the college’s mission.
Laredo College policies are available online (www.laredo.edu) for official use.  The Institutional Advancement (IA) Division Protocol are office procedures and recommendations for the IA Division set forth by the Vice President of Institutional Advancement. These procedures and college policies must be adhered to at all times.
Characteristic Duties and Responsibilities
1.Interpret and verify the accuracy of data provided from reports generated by the Blackbaud system. 
2.Ensure that all transactions related to development, donor stewardship, alumni relations, and fundraising are properly recorded and updated.  
3.Provide and track foundation and grants activity reports through the financial program.
4.Manage the timeline and assist the Director of Development with the scheduling of development agreements.
5.Manage annual account information to ensure that donor and financial information is current.
6.Prepare timely financial reconciliations on a monthly basis.
7.Manage detailed information on accounts being transitioned into the financial system.
8.Responsible for proper classification of entries into the Blackbaud system.
9.Work closely with the Restricted Accounts Director and accounting teams to ensure that all development tracking is accurate and fulfilling the donor, foundation or grants intention.
10.Establish and maintain separate accounting funds for each grant/award in order to maintain fiscal integrity and to monitor deposits, expenditures, and budget availability of individual accounts in a timely manner.
11.Manage and control accurate information on all donors, foundations, grants and other accounts that are part of the Office of Institutional Advancement and interpret reports to ensure restrictive funds are in the proper accounts.
12.Prepare timely monthly, quarterly and annual reports for all Federal, State and Local grants to ensure timely distribution of restricted and unrestricted funds expenses.  
13.Create and analyze financial reports and determine opportunities that provide access to funds that will assist in enhancing funding for the College.
14.Remain up-to-date with the financial systems used by  the Office of Development.
15.Perform other duties as assigned by the Director of Development, the VP of Institutional Advancement and/or the President with the utmost confidentiality as most activities of the office are sensitive. 

Qualifications/Certifications/Licenses/Skills

Required:

  • Associate’s or 60 hours of college credit.
  • Six years of experience in Blackbaud’s Razor’s Edge.  Five years of work experience in an accounting-related position with a public, private or government entity. Knowledge in financial safeguards, transactions and other related controls related to donor or corporate development. Experience in handling internet based transactions on financial funding sources and varied software platforms that impact donor development.  Ability to interpret donor funding, tracking, and opportunities based on the history of each financial account including donor cross-referencing with student funding.
  • Valid Texas Drivers License.
  • Preferred:
  • Bachelors in Business Administration, Finance, Accounting or related field.
  • Managing the Blackbaud Program and creating reports through Razor’s Edge.  Able to navigate and interpret financial transactions that impact donor development, fundraising or institutional advancement.

  • Excellent organizational, planning, and writing skills
  • Current knowledge of basic accounting principles and accounting reports
  • Strong analytical and decision making skills, strong skills in the use of personal computer software such as Microsoft, Outlook, Google, and other applications.
  • Be proactive and initiate action as needed.
  • Ability to attend to detail and ensure accuracy of data.
  • Ability to prioritize assignments to meet deadlines.
  • Experience using information systems, skills in the use of office machines such as 10 key calculators and copier machines.
  • Ability to handle multiple tasks in different areas.
  • Maintain pleasant attitude toward employees.
  • Work schedule may include evening, weekends and/or holidays.

While performing the duties of this job, the employee is regularly required to sit.
