Alumni Association and Foundation Accountant

Job Description

The Alumni Association and Foundation (AA&F) Accountant plays a pivotal role in supporting the financial health and operations of our institution. This position offers the unique opportunity to work closely with various stakeholders, including the AA&F’s Treasurer, Investment Committee (Board members), external accounting firms and financial institutions, while building relationships across multiple university departments such as advancement, payroll, budget and continuous improvement teams. The AA&F Accountant assists with financial management, accounting requirements, and maintaining financial records and databases. Your knowledge of generally accepted accounting principles (GAAP), financial reporting standards, internal auditing, and tax regulations will be invaluable as you contribute to the financial success of the AA&F. 1. Assists the AA&F accounting manager and liaison to various areas within the university including but not limited to financial services, academic departments, deans and department chairs, grants and sponsored programs and institutional research as it pertains to the AA&F's finances.

2. Assists in preparing financial reporting for presentation at Investment and Audit/Finance Committee meetings. Attend AA&F Committee meetings as needed.

3. Works closely with the AA&F accounting manager and AA&F controller, and interfaces with AA&F audit/finance committee/treasurer and the AA&Fs auditors in the overall annual audit process in accordance with internal reporting needs and new accounting requirements

4. Performs analysis of financial and statistical data in preparation of the annual budget presentation to the Audit/Finance Committee and AA&F Board. Prepares underlying financial analysis as well as consistently monitor and report on expenditures against those budgets to the AA&F accounting manager and AA&F controller.

5. Prepares accounts payable functions including entering, posting, and processing payments and associated reconciliations as well as maintaining the proper storage/scanning of all AA&F related documents.

6. Assists in preparing monthly, quarterly, and year-end account processing and reconciliations; monitor status, reconcile and report on all cash and other investment accounts owned by the AA&F. Interfaces with the AA&F’s financial institutions to assure accuracy as needed.

7. Assists in developing policies and procedures for AA&F activities, including internal controls, requirements as required by accounting standards, office procedure and accounting database systems, supporting schedules and reporting requirements.

8. Supports the work of the accounting manager and controller related to financial database coding and maintenance.

9. Assist with compliance with tax reporting requirements with federal and state agencies. Stay current with IRS 990, Massachusetts state filings and reports, UPMIFA requirements and any other relevant legal and tax matters.

10. Provides support to the AA&F accounting manager at Investment and Audit/Finance committee meetings and assists with filing board roster changes with the commonwealth as needed.

11. Provides assistance to the AA&F accounting manager to ensure spending all available funds occurs by tracking multi-year spendable commitments and endowment available funds.

12. Assists with communicating information to all appropriate university wide departments and area heads related to the annual endowment calculations.

14. Serves on committees/task forces as assigned.

15. Performs other duties as assigned by the AA&F accounting manager, AA&F controller and executive director.

16. Demonstrates sensitivity to students, faculty, and staff of varying racial, ethnic, religious, gender, cultural, disability, sexual orientation and socioeconomic backgrounds

17. Demonstrates sensitivity to students with a diversity of learning styles

18. Serves as a role model and mentor for students as appropriate

Required Qualifications:

  • Associate degree with a major in accounting, business administration or business management, with concentration in accounting
  • Four years of experience in the accounting field, including experience with fund accounting standards and procedures
  • Experience with investment management principles with preference given to daily operation of non-profit 501(c)3 organization
  • Working knowledge of budget planning and data management 

Preferred Qualifications: 

  • Bachelor's degree with a major in accounting, business administration or business management
  • Experience working with volunteer boards and committees in an effective and professional manner and handling confidential matters with discretion
  • Experience managing multiple complex assignments and coordinating team efforts efficiently
  • Proficiency in Microsoft Excel, Word, and PowerPoint and familiarity with Financial Edge and Fundriver
  • Ability to understand, explain and apply the law, rules, regulations, policies and procedures while exercising independent and sound judgment 
  • Effective written and oral communication skills with experience interacting tactfully with others

 

Working Conditions:

This is a hybrid position with weekly on-campus, in-person responsibilities in Salem, MA which may require occasional work on evenings and weekends.

 

Office activities are performed in an environmentally controlled office setting subject to extended periods of sitting, keyboarding and interaction with computer equipment; Occasional bending, reaching, lifting, pushing and pulling up to 5 pounds.
