Position Summary/Purpose of Position:

This position splits time between the University of Maryland Institute of Advanced Computer Studies (UMIACS), including all of the Centers and Institutes that comprise it, and the Artificial Intelligence Interdisciplinary Institute at Maryland (AIM). The incumbent consults on strategic event creation, they plan and arrange for all elements of the event plan that was developed, and they execute “day of” event tasks, ensuring that the event runs smoothly and accomplishes its intended purpose. In short, the Program Manager, Engagement, Events & Special Projects is responsible for all aspects of the units’ events from start to finish and have the full support of the units and their leadership in developing and executing impactful programming.

Education:
Bachelor’s degree.

Experience:
Eight (8) years of experience in event management.

Knowledge, Skills, and Abilities:
  • Self directed, well organized, and customer service oriented,.
  • Exceptional communicator (both verbally and in writing). 
  • Enjoy working with diverse groups of people.

Additional Information:

Duties include, but are not limited to:
  • Work extensively with faculty, staff, and students to identify each event’s intended audience and specific goals. Collaboratively formulate a strategic vision that uniquely meets the needs of each individual occasion and stays within the budget set.
  • Make arrangements for venues, room blocks, transportation/travel, food, tech support, etc., This includes working closely with the business office on issues of compliance and documentation. Also, work with the communications office on signage, official correspondence with attendees (like invitations and/or any follow-up after the event), and any materials that will be used during the event itself.
  • Obtain a funding source and develop a budget for each program/event and ensure that vendor’s proposals are evaluated carefully and compared to other options, in order to steward the University’s funds responsibly. Think creatively with respect to cost savings and communicate early and often about any anticipated issues with staffing or other resources.
  • Manage events on the day that they occur to ensure that they run smoothly and to manage the inevitable snag that pops up. Perform post-event evaluations and brainstorm ways to improve and adapt based on the results.
  • Perform other duties and special projects as assigned.

The University of Maryland Institute for Advanced Computer Studies (UMIACS) is a large, interdisciplinary research institute where faculty use advanced computing techniques to tackle today’s most complicated and pressing societal problems. The UMIACS business staff is built to support our faculty as they propose and execute large, complex, interdisciplinary sponsored research projects (including conferences and other events). We have some of the most competent, experienced staff on campus and we function as a team in every sense, supporting, teaching, and helping each other on a daily basis. To be successful here, one must be self-motivated, organized, a creative problem solver, and have good attention to detail. We need a true team member. The bar is set very high here, but we all help each other to succeed and it makes for an amazing, positive, productive, fun work environment.

Physical Demands

Mostly sedentary work. May be required to exert up to 20 pounds of force to lift, carry, push, pull or otherwise move objects, occasionally, when setting up for events. Most be able to move around campus for meetings and to stage events. Repetitive motions and substantial movements (motions) of the wrists, hands, and/or fingers are required. The worker is required to have close visual acuity for reviewing and producing and reviewing documents digitally as well as in hard copy. They must also be able to communicate (hear and speak) clearly.
