Position Focus:

Under the general direction of the Senior Director, Finance & Administration in the Department of Pathology, and with considerable latitude for exercising discretion and independent judgment, the Manager of Residency, Fellowship, & Graduate Programs provides a high level of administrative and academic management by overseeing all activities related to the supervision of the medical, graduate medical and continuing medical training education programs. Responsible for managing all administrative, human resources, supervisory and operational facets of a significantly sized education program for the department including supervisory and financial management of ACGME and Non- ACGME fellowships and residency programs. Also responsible for medical student education, observerships, internships and other visiting students and scholars. Assists in the development of the annual budget and quarterly monitoring for assigned areas. Assists with budgeting and forecasting projects for all education facets. Performs a variety of operational activities including departmental communications, information technology planning, space planning, facility planning and compliance.

Resident/Fellowship Recruitment
Partners with the program director to establish recruitment policies, strategy, and ideology of recruitment for residency.
Manages the Electronic Residency Application Service (ERAS) process.
Screens all applications and invites candidates for interview.
Updates recruitment websites, and materials provided to applicants.
Establishes and manages interview process, ranking, and post-match activities.
Submits National Resident Matching Program (NRMP) list via Internet.
Verifies Educational Commission for Foreign Medical Graduates (ECFMG) documentation and ensures visa requirements are met.

Program Accreditation
Understands the Accreditation Council for Graduate Medical Education (ACGME) requirements for institutional, core, and program requirements.
Acts as subject matter expect and advises program director of requirement interpretation.
Coordinates completion of Program Information Form (PIF) for ACGME site review.
Prepares department, faculty, and physicians-in-training for site visit.
Serves as key participant in site visit.
Organizes internal review with institution’s policy, procedure and mission statement.

Information Technology
Uses Internet for ACGME webADS, American Board of Pathology, Tracking, ERAS, NRMP, surveys, and national reports.
Implements and maintains program management software.
Develops and maintains database on residents, fellows, graduate students, trainees, and alumni.
Develops informational websites for faculty and physicians-in-training.
Creates and maintains recruiting web pages.

Supervision/Management
Provide supervision and training to program coordinators and oversees the daily operation of all educational programs.
Conduct regular performance evaluations in conjunction with the Program Director and Associate Program Directors.


Essential Duties

1.  Supervises administrative staff. 2.  Conceptualizes, develops, and plans for programs. 3.  Advises participating faculty and staff on models and focus areas. 4.  Advises Executive Director on overall progress of programs, anticipates potential problems, and recommends changes to meet objectives. 5.  Leads effective coordination with Yale faculty, partners, and others involved in programs, setting expectations and preparing participants for programs. 6.  Leads execution of application, selection, and management process. 7.  Designs and executes a strategy for effective follow-up and tracking of delegations and post-event progress. 8.  Designs and implements programs, with potential linkages to relevant events. 9.  Develops, maintains strong relationships, and liaises with faculty, partners, and others and facilitates connections to appropriate resources 10.  Drafts reports, memos and communications materials as needed. May perform other duties as assigned.


Required Education and Experience

Bachelors’ Degree in related field and four years of related experience or an equivalent combination of education and experience.

Exceptional written and oral communication skills with demonstrated ability to work collaboratively with and influence faculty, staff, and students.


Required Skill/Ability 2:

Proven leadership, management, and process skills and the ability to supervise and mentor staff members and foster teamwork in a service-oriented environment.

Exceptional problem-solving skills and a demonstrated ability to see the bigger picture and establish objectives relevant to department missions.


Required Skill/Ability 4:

Demonstrated competence with budgeting and financial reporting, best practices, exceptional attention to detail, organizational and time management skills.


Required Skill/Ability 5:

Demonstrated proficiency in all IT skills to include Outlook MS Office Suite.


Preferred Education, Experience and Skills:

Master’s degree and two years’ experience in higher education and/or an academic medical center; Strong working knowledge of Yale Medical School organization; resident and fellowship education programs (ACGME and Non-ACGME); Postdoctoral Affairs and OISS policies and practices.
