POSITION TITLE: Graduate Program Administrative Coordinator - California

POSITION SUMMARY:

Join our dynamic team at Scripps Research's Office of Graduate Studies (OGS) in La Jolla, California. As the Graduate Program Administrative Coordinator, you will play a vital role in providing administrative, operational, and financial support. You'll collaborate closely with graduate students, faculty, interns, and administrators to ensure smooth operations and drive innovation in our education programs.

RESPONSIBILITIES AND DUTIES

  • Serve as primary contact for OGS, handling inquiries professionally via phone, email, and in-person interactions.
  • Administer shared OGS voicemail and email accounts, responding to inquiries and forwarding messages appropriately.
  • Manage Graduate Program calendar and room reservations.
  • Process transcript requests and education certifications.
  • Administer office and event supply orders, maintenance requests, and shipping and receiving.
  • Assist in the scheduling process for students' thesis committee meetings and defenses.
  • Assist in the accurate maintenance of student records and forms per OGS guidelines.
  • Plan and execute education- and outreach-related events, collaborating with various staff members such as the International Services Office, student groups, and Career and Professional Development Office. Responsible for promoting events, ordering catering, providing on-site support and set-up, and arranging logistics for speakers and courses.
  • Contribute to special projects and perform other assigned duties as needed.

POSITION REQUIREMENTS

  • High school diploma or equivalent (GED); Bachelor's degree preferred.
  • Minimum of five years related experience as an administrative assistant, preferably in an education or non-profit environment.
  • Demonstrated expertise using Microsoft Office (Teams, Word, Excel, Outlook, PowerPoint) and Adobe Acrobat skills, as well as the ability to learn new programs and applications.
  • Strong organizational, multitasking, problem-solving, interpersonal, verbal and written communication skills.
  • Professional level typing skills (45 wpm).
  • This is an on-campus position requiring 4 days per week working onsite from our La Jolla, California campus, with flexibility to work 1 day per week remotely from home.

COMPENSATION:

The expected hiring range for this position is $25.00 hourly to $32.00 hourly, commensurate with experience. Consideration will be given to experience that exceeds the listed requirements.
